Leave of Absence Specialist
Job Description Summary
Reporting directly to the Health and Welfare Benefits Manager, this position is responsible for coordinating employee lave program in partnership with third-party administrators who manage FMLA and short-term disability, while assisting with the administration of ADA workplace accommodations. This role ensures compliance with federal, state and company policies, monitors case activity for accuracy and timelines, and provides guidance to team members, managers and HR partners.
In the Role
- Partners with team members, HR partners, management, and third-party administrators to ensure leave of absence cases are handled accurately, efficiently, and in compliance with policies and regulations; researches and resolves issues accordingly.
- Engage with the team members throughout the interactive process of ADA and PWFA accommodation requests, providing guidance and support to ensure a smooth experience.
- Initiates and tracks the ADA interactive process by sending required documentation, coordinating with employees, HR partners and management, and exploring alternative solutions and making recommendations to ensure fair, consistent and compliant outcomes.
- Processes high volume of leave actions in payroll, timekeeping, and HR systems, ensuring accurate data entry and maintenance to support compliance and audits.
- Reconciles/analyzes payroll files or resolves individual pay inquiries as related to leaves.
- Identify opportunities to streamline leave and accommodation workflows, recommending process enhancements to improve efficiency and team member experience.
- Maintain up-to-date knowledge of leave laws, PWFA and ADA regulations.
- Partners with Workers Compensation vendor to process employee claims.
- Serves as the subject matter expert for the leave programs in alignment and under the general direction and guidance of HR leadership and Legal
- Process State Disability Claims as necessary.
- Ensure compliance with state and federal leave laws, providing support and project execution when new laws develop.
- Participates/drives special projects or assignments as needed
Requirements
- 3+ years of experience in US disability/leave administration and ADA accommodation.
- HS Diploma or GED Equivalent
- Deep understanding and application of federal and state disability and paid family leave laws (i.e., ADA, FMLA, PFWA, CFRA, HIPPA, etc.) in a multi-state environment.
- Independent worker and must be able to regularly exercise discretion, handle conflict and be firm when required.
- Exceptional critical thinking and problem-solving skills. The ability to analyze complex questions and determine the best course of actions or recommendation.
- Organized, detail oriented and able to manage multiple priorities in a fast-paced environment
- Strong communication skills with the ability to interact effectively with employees at all levels
- Ability to take initiative and make decisions under pressure

ADA Leave Analyst
Reporting directly to the Health and Wellness Benefits Manager, this position is responsible for the management of workplace accommodation and leave processes within the guidelines of federal and state laws, and company policies. You will provide best-in-class consultative support for HR partners, management and team members during the interactive accommodation and leave administration process.
In the Role
Manages the interactive process by ensuring compliant recordkeeping, review of medical information, and facilitating open interactive dialogue with team members. Exploration of alternative solutions, developing well-informed recommendations and guiding decision making of team member requests, ensuring fair and consistent handling of accommodation.
Assists in workflow management, reviewing and reconciling leave/ADA reporting to ensure compliance and return to work solutions. Holds routine team meetings to ensure caseloads are managed timely.
Manages escalated employee leave of absence inquiries and issues related to FMLA, Short Term Disability, Long Term Disability, Military, State, and other leave of absence programs.
Compiles and analyzes leave and accommodation data to identify trends, key metrics, gaps in processes or compliance concerns and recommend/execute upon solutions.
Conducts periodic reporting, performs data audits, reconciles pay discrepancies and adjusts absence data – all while ensuring data integrity and accuracy.
Consults and communicates regularly with internal HR partners, management and key stakeholders to educate and resolve concerns.
Ensure compliance with government regulations, including state disability and family leave programs, ADA, PWFA, FMLA and remains current with new and changing state leave programs to ensure compliance. Assists with execution of new state leave programs.
Updates internal HR systems accurately to ensure appropriate recordkeeping.
Maintain up-to-date knowledge of relevant state leave/ADA/PWFA regulations and serve as a subject matter expert.
Develops processes, tools, guides and communications l as necessary to ensure compliance, improve operational efficiency or the team member experience.
Supports the team’s evolution in developing a best-in-class operating model, recommending solutions to help create structure, role definition and system enhancements.
Process State Disability Claims as necessary.
Participates/drives special projects or assignments as needed.
Requirements
3-5 years of experience in US disability/leave administration and ADA accommodation or previous experience in an HR generalist or employee relations role.
HS Diploma or GED Equivalent
Previous management or lead experience a plus.
Deep understanding and application of federal and state disability and paid family leave laws (i.e., ADA, FMLA, PWFA, CFRA, etc.).
Thorough understanding of the leave laws in a multi-state environment.
Analytical Reasoning/Attention to Detail - Must demonstrate an ability to examine and analyze data/information, discern variations/similarities, and be able to identify trends, relationships and causal factors, as well as grasp issues, draw accurate conclusions, and solve problems.
Independent worker and must be able to regularly exercise discretion, handle conflict, be adaptable, and firm when required.
Must be able to maintain confidentiality of protected and sensitive data and ensure compliance with HIPAA.
Exceptional critical thinking and problem-solving skills. The ability to analyze complex questions and determine the best course of actions or recommendation.
Excellent oral and written communication skills. Able to effectively communicate with employees at all levels from senior management to junior-level employees. Ability to facilitate meetings or training.
Organized, detail oriented and able to manage multiple priorities in a fast-paced environment.
Ability to listen and ascertain the needs of employees; ability to find and communicate accurate information concerning process, policies, and procedures; ability to respond tactfully and courteously.
Ability to take initiative, be resourceful and make decisions under pressure, in a fast-paced environment.
Must have proficiency in MS Office skills including Excel, Word and PowerPoint and Outlook. Within Excel – use of VLOOKUP, formulas, and other analytical tools in order to analyze, reconcile, and present data.
Preferred:
Experience in administering a CA VDI Plan and other state disability offsets preferred.
Prior Workday experience working with leave, payroll and ADA reporting preferred.
