The Operations Analyst is responsible for operations communication activity and assists management in overall operations support and reporting. The role works and consults directly with business partners and subject matter experts (SMEs) in determining the best way to document and communicate information to the organization. The Operations Analyst organizes and leads meetings with various departments based on communication needs.

This position will interact with all levels of management within the field, corporate and centralized areas.

In the Role

  • Collaborate with business partners in drafting and editing Branch and Central Network Communications and targeted communications through MainStreet and email.

  • Analyze, write and prepare complex information or instruction and documentation based on requested communication.

  • Draft and edit weekly Branch Network communications (BNC) and Central Network Communications (CNC) based on received submissions.

  • Host weekly BNC/CNC meetings to clarify and finalize weekly publications and upload final for distribution.

  • Partner with Corporate Communications to ensure required organization-wide requirements are followed.

  • Foster a high energy, high performing team culture.

  • Collaborate with business partners on communication content and timelines for specialty projects, emergency and ad-hoc requests.

  • Manage and employ the Poppulo communication platform for email-based communications.

  • Develop communication reporting and partner with management to analyze common communication topics for process improvement suggestions or escalation to business partners.

  • Partner with Legal to ensure state solicitation bans are communicated to appropriate team members.

  • Create/maintain communication distribution lists for on-going and one-off communications.

  • Prioritize and validate submitted communications.

  • Maintain Communication Request submission form and job aid.

  • Maintain and enhance OMF business knowledge and industry norms/standards to provide sound recommendations in the role.

  • Ensure communication information is organized throughout shared drive, communications request portal, Poppulo communications platform, communications Confluence calendar, etc.

  • Continue skill development with Poppulo, LinkedIn Learning and MyLearningLink courses.

  • Support additional duties as defined.

Requirements

  • High School Diploma/ GED.

  • 4+ years relevant work experience

  • Excellent grammar, editing and proofreading skills

  • Excellent interpersonal skills and ability to interact with all levels of management

  • Well-organized; effective time management and multi-tasking skills with strong prioritization skills

  • Ability to work independently and efficiently in a fast-paced, deadline driven environment

  • Quick learner with superior attention to detail; highly adaptable

  • Well-rounded organizational knowledge, including business unit functions and inter-business unit dependencies

  • Strong analytical and problem resolving skills

  • Proficient skills in Outlook, Excel, Word and PowerPoint

  • Familiarity with internal operational systems such as Field Reporting, CLASS, CQS, etc.

Preferred:

  • Poppulo experience

  • Project Management experience

  • Confluence experience
