Office Manager
We are seeking a highly motivated and detail-oriented Office Manager to oversee the daily operations of our office. As the Office Manager, you will report to the Deputy Chief of Staff. The ideal candidate will have excellent organizational skills, a knack for problem-solving, and the ability to manage a variety of tasks simultaneously. You will serve as the point of contact for employees and clients, ensure the office environment is conducive to productivity, and contributes to a positive company culture.
In the Role
Oversee and manage day-to-day office operations
Handle scheduling and coordinate meetings and events, which includes catering of offsites, Connectivity days and meetings
Manage our on-site IT/desktop support staff to prioritize technology needs and concerns
Provide support to various teams including NYC Site Spirit, Site Volunteer, Facilities, and technology to ensure site engagement and support for general site upkeep
Maintain office and pantry supplies inventory, ensuring necessary items are stocked and reordered as needed
Serve as the primary point of contact for visitors and external vendors
Manage office facilities and liaise with building management regarding any issues or repairs
Organize and maintain office organization systems, ensuring that documents and supplies are properly filed and easily accessible
Prepare and process invoices, purchase orders, and other administrative paperwork
Assist in onboarding new employees and contractors. Facilitate orientation processes, such as setting up system and provisioning access
Handle general administrative duties such as answering phones, receiving and re-routing the mail, responding to emails, and managing office correspondence
Provide backup support as needed during vacation, sick days, etc.
Requirements
Bachelor’s degree in Business Administration, Management, or related field.
3-5 years of office management or administrative experience, preferably in a fast-paced environment; Financial services preferred.
Ability to work full-time hours and occasionally arrive early or stay during evening hours to support an internal or external event.
Strong organizational and multitasking skills with keen attention to detail.
Experience organizing and planning events.
Excellent written and verbal communication skills.
Proficiency with office software (Microsoft Office Suite, Teams, etc.) and office equipment (printing, binding, etc.)
Strong interpersonal skills and ability to work well with various teams.
Proactive, self-starter with the ability to solve problems independently.
A positive attitude and a commitment to delivering excellent service.
Ability to maintain confidentiality and sensitive information.
Supporting an executive (C-Suite) a plus.

[New York] Target base salary range is $75,000 - $85,000, which is based on various factors including skills and work experience. In addition to base salary, this role is eligible for a competitive compensation program that is based on individual and company performance.
